AI Content System Design · B2B

The system that produces on-voice content, not the content itself.

A 4-week build that delivers your own custom AI project, prompt library, voice profile, and content workflow. You own it. Your team uses it. Your content goes out on-voice and on-strategy at a fraction of the time it takes now.

Problem
The Problem

Most teams use AI for content and it still sounds like AI.

ChatGPT is open in a tab. A marketer types "write a LinkedIn post about our Series B" and pastes the output. Thirty minutes later the post is live and it sounds like every other AI-written post on the feed. Six reasons this keeps happening:

01 No voice profile, so every prompt starts from zero. Each team member gives the model a different version of the brand voice. The outputs diverge because the inputs diverge.
02 No prompt library, so every task gets reinvented. Someone writes a prompt for a LinkedIn post on Monday, forgets it, and writes a different prompt for the same task on Thursday. Quality fluctuates because the process fluctuates.
03 No editorial checklist, so nobody knows when the output is good. Without named criteria, "does this sound right" becomes a vibe check. Some pieces ship sharp, others ship flat, nobody can tell you why.
04 The team does not trust the output, so every piece gets rewritten by hand. The AI saves no time because the draft is too generic to ship and too long to fully rewrite. Worst of both worlds.
05 The "system" lives in one person's head. One marketer figured out a prompt that works. They leave. The prompt leaves with them. The team is back to square one.
06 Nobody knows if the system is working. No success criteria, no review cadence, no measurement. "We use AI for content" becomes a claim, not a capability.
Deliverable
The Deliverable

Your own custom AI project, built for your voice.

Not a template. Not a bolt-on plugin. A fully configured project on your chosen platform with your voice baked in, your prompt library loaded, and a running editorial checklist that catches off-voice output before it ships.

Series B. $12M, led by Sequoia. Closed it yesterday afternoon and spent the evening thinking about who we still need to hire to actually earn it. Three engineers and a senior designer go up today. If you have shipped revenue-operations tooling at scale and think founder-led sales should not be a dirty word, come talk.

System
What Gets Built

Six components. One working system.

Every component is required. Skip one and the system becomes a collection of tools instead of a working content engine.

Component 01

Custom AI project

A configured project on your chosen platform (Custom GPT, Claude Project, or similar) with system instructions, project knowledge, and guardrails built in.

Component 02

Voice profile document

A 10 to 15 page document capturing your voice on sliding scales, with 20+ on-voice examples, 20+ off-voice examples, and a written voice test any writer can apply.

Component 03

Prompt library (30+)

Named, tested prompts for your most common content tasks: LinkedIn posts, emails, blog outlines, case studies, ad copy, newsletter intros. Organized by format and use case.

Component 04

Content framework templates

Reusable skeletons for hero copy, LinkedIn posts, emails, and long-form pieces. Fill-in-the-blank structures that bake in your argument pattern, not just your voice.

Component 05

Editorial review checklist

A named list of checks any team member can run before publishing: voice match, specificity, clichés removed, claims proofed. Turns "does this sound right" into a yes or no.

Component 06

Team training workshop

A 2-hour live workshop with your team covering how to use the system, how to extend it, and how to review output. Recorded for future onboarding.

Process
Process

Four weeks. One working system.

Voice capture first, system build second, testing third, handover last. In that order, because skipping the voice step is why most AI content systems fail.

Week 1
1

Voice capture

90-minute kickoff call. Interviews with founders or executive voices. Review of existing content: top-performing posts, recorded calls, newsletter archives. Voice profile drafted.

Week 2
2

System build

Custom AI project configured with voice profile and system instructions. Prompt library drafted and organized. Content framework templates built for your top content formats.

Week 3
3

Testing

Run the system on 10 to 15 real content tasks. Tune the voice profile, refine the prompts, and fix the edge cases. Editorial checklist drafted from the test cases.

Week 4
4

Handover

Final documentation delivered. 2-hour team training workshop with recording. Access transferred fully to your team. You own the system end-to-end.

Investment
Investment

Build it once. Keep it sharp.

A single flat-rate build that delivers a working system and a handover. An optional monthly retainer for teams who want the system kept current as voice, strategy, or platform capabilities evolve.

Scope
Scope

What the system is. What it is not.

The product is a system build and a handover. Not a content production service. The distinction matters for how we engage and what you can expect.

Included

The system and the handover.

  • Voice capture across founder interviews and existing content archives
  • Custom AI project configured on your chosen platform
  • Prompt library of 30+ tested prompts with usage notes
  • Testing on 10 to 15 real content tasks during build
  • Editorial checklist and voice test any team member can apply
  • 2-hour team training workshop plus recording
  • Full ownership transfer. The system is yours.

Excluded

Named up front to prevent scope creep.

  • Ongoing content production (system is for your team to use)
  • Model fine-tuning, RAG pipelines, or custom API development
  • Automation workflows with Zapier, Make, or n8n (sold separately)
  • Platform licensing or subscription costs (paid directly by you)

Reduction in time per LinkedIn post, ship-ready

Founder was writing every LinkedIn post by hand, spending 40+ minutes per piece. System cut that to 12 to 15 minutes per post while keeping voice intact. Three months after handover, the founder's LinkedIn following grew 2.3x with no drop in engagement rate.

Voice systems built, one per major client

Agency built four parallel systems (one per retainer client) using the same methodology. Writers on the agency side report they no longer need 30 minutes of "getting into voice" time at the start of every task because the system already holds the voice.

Publishing frequency after system rollout

Managing Partner was publishing 1 piece per month, wanted 1 per week but had no capacity. System allowed a communications lead to draft in the Partner's voice at 3x the previous cadence. Partner now reviews rather than writes, which is the leverage point.

About

Most AI content services sell you content. I sell you the capability. The difference is everything. After the engagement, you do not need me to write your posts. You have a system that does it. That is the entire point.

FAQ
Questions

What clients ask first.

Six questions.

No, and anyone promising that is selling snake oil. What the system will do is produce drafts close enough to your voice that your team can polish them in 15 minutes instead of writing them from scratch in 45. The goal is leverage, not replacement. The human review step stays in the loop on purpose.
Your choice. Most builds go on Custom GPTs (OpenAI) or Claude Projects (Anthropic) because those platforms support long system instructions, project knowledge, and team access without custom development. If you have a preferred platform, I build there. If you do not, I will recommend based on how your team works and what your content mix looks like.
You do, fully. The custom project, the voice profile, the prompt library, the templates, and the checklist are all yours. Full access transfer. Full documentation. You can extend it, modify it, hand it to another consultant, or let it sit unchanged. No vendor lock-in, no ongoing licensing to me, no hidden dependencies.
A prompt engineer writes prompts. This engagement captures a voice and builds a content system around it. Prompt craftsmanship is one piece of the work, but the bigger pieces are voice capture, editorial discipline, and workflow design. If all you need is a few prompts tuned, hire an hourly prompt engineer. If you need a working content capability, hire this.
The system covers the content formats in your top priorities (typically LinkedIn, email, blog, newsletter). Sales copy and VSL scripts are better built through my sales letter service because they require deeper argument structure than a prompt library can carry. Technical documentation is possible but usually a separate engagement because it lives in a different editorial pipeline.
Small platform changes rarely break a well-built system. Big changes (a new model generation, new project features) usually improve the system rather than break it. The optional maintenance retainer exists precisely to keep the system current as platforms evolve. For clients on the retainer, platform migrations are handled inside scope.

Your team should be using AI, not fighting it.

Tell me your primary voice, your top three content formats, and your preferred platform. You will get a scope confirmation and a kickoff date within two business days.
